Job Description

AP Admin and Property Admin Assistant 
Commercial Real Estate Developer
Location: Corporate  Office - Newport Beach 
Monday - Friday 8:30 - 5:00 onsite 

Salary: $65,000 - $80,000 
Medical, Dental, Vision, 401k 

Real estate development or property management experience preferred and Knowledge of Yardi software

Position Summary

Accounts Payable Administrator and Property Admin Assistant provides general administrative and clerical support to the Property Management and Accounting team while providing outstanding customer service to tenants, vendors, visitors, and interoffice staff.  Responsibilities may vary depending on assigned division/department.  Reports to both the V.P. Real Estate Management and V.P. - Controller.

Job Duties
 
  • Maintains the accounts payable workflow by Managing and processing invoices.
  • Scan and input all property invoices into Yardi.
  • Code invoices and distribute for proper approvals.
  • Process daily remote deposits and take deposits to the bank if necessary.
  • Ensure all incoming checks are deposited into the appropriate account.
  • Provide front office assistance and answering phones as needed, taking messages, and fielding calls.
  • Assist with Accounts Receivable calls and collection of tenant rent including monthly tenant bill backs and utility recovery billings. 
  • Participate in all general filing for the Accounting and Property Management team.
  • Assist V.P of Real Estate Management, Real Estate Manager and Assistant Manager with all clerical and administrative support. Provide receptionist and property assistant coverage as needed.
  • May perform other general duties as assigned.
  • Keep copy room and supplies ordered and organized.
  • sort and distribute mail.
  • Go to PO/FedEx/GSO at end of day.
Qualifications:

Minimum 2 years of accounts payable experience
Knowledge of Yardi software preferred
Strong organizational and problem solving skills.
Real estate development or property management experience a plus
Quick learner, detail oriented, team player
Computer proficiency in Microsoft Office programs
