THE OPPORTUNITY
A prestigious, family-owned industry leader in maritime services is seeking an exceptional Executive Assistant to support their President & Chief Operating Officer. THE ROLE
As Executive Assistant to the President & COO, you will serve as the primary support for a dynamic, fast-paced executive who oversees multiple facilities and operations across the West Coast. Primary Responsibilities:
- Complete ownership of the executive calendar, including scheduling, rescheduling, and ensuring all meetings are properly prepared
- Acting as the executive's liaison to staff, customers, and external contacts
- Managing travel arrangements for executives and staff with meticulous attention to detail
- Coordinating company events, including corporate lunches, holiday functions, and special events
- Processing expense reports, auditing invoices, and managing financial documentation
- Arranging appropriate gifts for employees, customers, and partners for special occasions
- Setting up meeting spaces with appropriate materials and refreshments
- Assisting with occasional personal arrangements for the executive
You are a polished professional with exceptional interpersonal skills and a track record of providing high-level administrative support. You take pride in your professional appearance and demeanor, and you excel at anticipating needs before they arise.
Qualifications:
- 10+ years of executive administrative support experience
- Impeccable professional presentation and communication skills
- Exceptional organizational abilities with a proactive mindset
- Advanced proficiency with Microsoft Office (particularly Outlook, Excel, Word, and PowerPoint)
- Experience managing complex calendars and travel arrangements
- Ability to maintain strict confidentiality and exercise excellent judgment
- Flexibility to manage changing priorities in a fast-paced environment
- High School diploma required, Associate's or Bachelor's degree preferred
- Notary Public certification preferred
- Salary: $85,000-$105,000 based on experience
- Comprehensive benefits package including no-cost PPO health coverage

- Monday-Friday, 8am-5pm schedule (100% onsite)
